Why organize ACACED certificate tracking in your association?

As an association grows, records can become scattered across several files, email exchanges, and documents stored in different locations.

Centralizing ACACED certificate tracking helps you find the details you need more easily:

  • People who declare that they hold a certificate.
  • The relevant categories: dogs, cats, and/or NAC (nouveaux animaux de compagnie, a French term for new pets).
  • The recorded issue and expiry dates.
  • The corresponding supporting document, when available.

How does Pawer’s Certifications module work?

The module lets you record a certificate directly on a person’s profile.

1. Enter the categories and dates

The person can indicate that they hold an ACACED certificate and select one or more categories: dogs, cats, and NAC.

The date obtained is required when a certificate is recorded. An expiry date can be entered separately. If no expiry date is provided, Pawer applies a deadline calculated using a ten-year period.

These fields help keep the main details about the certificate together.

2. Attach a supporting document

A supporting document can be added when the certificate is recorded. PDF and image formats are supported.

The file is stored in Pawer’s document management system and linked to the relevant person. This makes it possible to keep the document alongside the other administrative records on their profile.

Adding a supporting document is optional.

3. Record details on the relevant profiles

The module offers two main ways to enter details.

From their own account, a person can enter or update their certificate details in the Certifications section of their profile.

From a foster family’s record, the association can also enter details for the active members of that family.

This second option is particularly useful when several people belong to the same foster household.

Identify ACACED certificate holders more easily

The module is not limited to recording certificates.

When Pawer considers a recorded certificate valid, a badge appears on the person’s avatar in certain lists and views within the application. The relevant categories can be viewed through the associated indicator.

Filters are also available in certain lists to find people with a certificate considered valid, including member lists, foster family lists, and foster family applications.

The goal is simple: make the relevant details easier to access where the association needs them, without having to search through a separate file each time.

Administrative tracking, not official verification

It is important to distinguish recording a certificate from officially verifying it.

Pawer’s Certifications module relies on details declared by users and any supporting documents they provide. Pawer does not automatically verify a certificate’s authenticity with an external organization.

The module also does not currently offer a global certification register or automatic reminders as an expiry date approaches. Renewals are recorded by updating the existing entry; the module does not retain a history of renewals.

These limitations are important to understand so that the tool can be used appropriately and its records kept up to date.
